Empowering Research: ODS Support Pilot Project
As part of the Florida Cancer Plan’s Goal 2, Objective 2.6, which focuses on improving data access and utilization, the FCDS initiated a working group to streamline the data request process.
The group evaluated major challenges encountered in the data request process and concluded that many researchers had difficulty in selecting appropriate cancer registry data items for their research topics, triggering time consuming back-and-forth communications to FCDS staff. To address this issue, the workgroup developed and launched the Oncology Data Specialists (ODS) Support Pilot Program to connect data requestors with certified ODS volunteers for data selection support.
In 2024, the Data Access and Utilization Working Group began the first phase of the pilot program to assist FCDS data requestors by connecting them with qualified Oncology Data Specialists (ODS). The first step requires data requestors to begin a data request application in the FCDS system called DREAMS, after which an FCDS staff member identifies applicants who need additional support. The researchers are then paired with an ODS volunteer to ensure that the data selected aligns with their research objectives. Meetings are facilitated virtually through Zoom and the applications are shared with ODS volunteers prior to these meetings.
Several lessons were learned during the pilot. Continuous education on cancer data standards and the request process is essential for both researchers and data requestors. The pilot program also highlighted the need for expert guidance in selecting data items that align with research goals. It became clear that the time spent with ODS volunteers should be limited to no more than three hours, including initial communications, Zoom meetings, and follow-up communications. Overall, the program proved the value of expert support in ensuring efficient and accurate data requests and reduced the back-and-forth communications with FCDS staff. Future objectives include expanding the available pool of ODS volunteers and recruiting more data requestors to take part in the pilot.
